Bedlay Gardens — Terms & Conditions

By making a booking with Bedlay Gardens Ltd, I confirm that I have read, understood, and agree to be bound by the following Terms and Conditions.


1. Cancellations, Rescheduling & Refunds

All cancellations or requests to reschedule must be provided in writing, via one of the following channels:

Notice Windows for Refunds

Refunds will only be considered where notice is given within the following timeframes:

Short visits (dog walks, day care, or boarding stays up to 6 days): Minimum of 24 hours’ notice.

Long stays (boarding stays of 7 days or more): Minimum of 7 days’ notice.

Bookings & Deposits

Requests to reschedule, transfer, shorten, or reduce the length of a booking are treated as a cancellation of the affected booking and the creation of a new booking. Availability for alternative dates cannot be guaranteed.

All bookings include a 20% non-refundable deposit, which:

Is non-refundable under all circumstances (except where strictly required by law).

Cannot be transferred to alternative dates, services, or other dogs.

No refunds, credits, or transfers
will be issued for missed sessions, late cancellations, early returns,
reduced stays, or changes due to illness (human or canine), bitches in
season, personal circumstances, or any dogs unfit to attend (see Section 3 – Health & Fitness to Attend).


2. Booking Terms & Opening Hours2a) Day Care & Dog Walking

All bookings must be made by 10:00pm on the evening prior to the service date and paid in full at the time of booking.

Bookings
are automatically confirmed upon successful payment via our online
booking system, and an email confirmation will be issued.

Daycare Opening Hours

Monday – Friday: 7:30am – 6:00pm

Weekends: Closed

Daycare Drop-Off & Collection

Drop-off window: Dogs must be dropped off by 9:15am. Late arrivals may be subject to a late fee or turned away.

Collection window: Dogs must be collected by 5:50pm, in time for daycare closing at 6:00pm.

Dogs must be fit to attend as per Section 3 – Health & Fitness to Attend.

No
refunds, credits, or rescheduling will be issued for non-attendance,
late arrivals, early collections, or missed sessions, regardless of the
reason.

2b) Home Boarding

All boarding requests must be submitted by 10:00pm on the evening prior
to the intended start date (unless agreed otherwise in writing) via our
online booking system. Submitting a request does not guarantee
availability.

Upon formal confirmation by Bedlay Gardens, the client agrees to pay the 20% non-refundable deposit within 24 hours. Failure to pay within this timeframe authorises Bedlay Gardens, where legally permitted, to charge the client’s card on file.

The remaining 80% balance must be paid no later than 7 days prior to check-in. Failure to pay authorises Bedlay Gardens to charge the remaining balance to the card on file.

Bookings made within 7 days of check-in require full payment immediately upon confirmation.

Boarding Opening Hours

Monday – Friday: 7:30am – 3:00pm

Saturday – Sunday: 9:00am – 1:00pm

Boarding Drop-Off & Collection Rules

The selected drop-off/pick-up time on the booking must be adhered to. A 15-minute grace window applies; late arrivals beyond this window may incur additional charges at Bedlay Gardens’ discretion.

No drop-offs or collections are permitted outside specified boarding opening hours under any circumstances.

Failure
to collect a dog by boarding closing time (3:00pm weekdays / 1:00pm
weekends) will result in the dog being kept overnight at an additional full overnight boarding rate. Dogs kept overnight must be collected the following day during standard opening hours.

Repeated failure to adhere to booked times may result in future bookings being declined or client access terminated.


3. Health & Fitness to Attend3a) Vaccinations & Immunity

Dogs must be fully vaccinated against DHP (Distemper, Hepatitis, Parvovirus), Leptospirosis, and Kennel Cough (Bordetella).

Valid proof of vaccination must be uploaded to the "Documents" section of your online account prior to any service.

Dogs vaccinated with a live intranasal Kennel Cough vaccine within the last 14 days are strictly prohibited from attending due to infection risks.

3b) Ill Health, Parasites & Veterinary Emergencies

Dogs
must not attend if they show any signs of illness, contagious
conditions, parasites (fleas/worms), or are undergoing medical treatment
for an infection (e.g., actively taking antibiotics).

Medical Emergency Authorization:
In the event of a medical emergency or sudden severe illness, Bedlay
Gardens will make reasonable attempts to contact the Owner and Emergency
Contact. If unreachable, you explicitly authorise Bedlay Gardens to
seek veterinary care at our registered practice (or an emergency
out-of-hours facility) and authorise treating vets to perform necessary
diagnostic or life-saving procedures.

Financial Liability:
The Owner assumes 100% financial responsibility for all veterinary fees,
diagnostics, prescriptions, and transport costs incurred. Bedlay
Gardens reserves the right to charge these costs directly to the card on
file.

3c) Bitches in Season

Bitches in season are strictly prohibited from attending any service.

Mandatory exclusion period: 4 weeks from the start of bleeding or 3 weeks from the end of bleeding, whichever is longer.

Bookings affected by bitches coming into season are treated as late cancellations and are not eligible for refunds or credits.


4. Behaviour, Welfare, Restraint & Early Termination

Bedlay
Gardens reserves the right to refuse, suspend, or terminate services
immediately where necessary to ensure the safety and welfare of dogs,
staff, or clients.

4a) Local Emergency Contact Requirement

For home boarding, the Owner must provide a local Emergency Contact (located within 1 hour driving distance) who is reachable throughout the stay.

If a booking is terminated early due to dangerous behaviour, extreme stress, or illness, the Emergency Contact must collect the dog within 4 hours of being notified.

4b) Behaviour & Property Damage

Bookings
may be terminated immediately if a dog displays undesirable, dangerous,
destructive, or unmanageable behaviour (including chewing furniture,
gates, crates, or property) or cannot be safely contained.

Property Damage Compensation:
The Owner agrees to compensate Bedlay Gardens for reasonable repair or
replacement costs for any property, fixtures, crates, gates, or
furniture destroyed or damaged by their dog beyond reasonable wear and
tear.

Early termination due to behaviour, welfare, illness, or safety will not be refunded.

4c) Group Play, Co-mingling & Equipment

Dogs will co-mingle with other dogs (including unneutered males or unspayed females not in season).

Dogs must wear a secure, properly fitted flat collar that cannot be slipped over their head.

4d) Consent for Management & Restraint Tools

If
a dog exhibits undesirable behaviour (e.g., over-arousal, excessive
mounting, resource guarding, poor social etiquette, persistent barking,
herding, or aggression), staff may manage the dog to maintain safety.

By signing these terms, you give explicit consent for staff to utilize management tools where necessary, including:

Trailing long lines, slip leads, or soft muzzles

Temporary crate placement or covered crates for downtime/calming

Physical separation, quiet zones, or 1-on-1 solo management away from the group


5. Force Majeure

Bedlay
Gardens Ltd shall not be liable or responsible for cancellations,
interruptions, or service alterations caused by events beyond our
reasonable control, including extreme weather events, infectious disease
outbreaks, government restrictions, utility failures, or local
emergencies.


6. General Terms, Liability & Injury Waiver6a) Non-Refundable Policy Standard

All
deposits, balances, and add-ons are non-refundable and non-transferable
under all circumstances—including canine or human illness, injuries,
behavioural terminations, personal emergencies, early holiday returns,
or non-attendance.

6b) Liability & Veterinary Risk Acknowledgment

Inherent Risks:
The Owner acknowledges that off-lead exercise, group play, home
environments, and canine socialisation carry inherent physical risks.
These include, but are not limited to: minor grazes, scuffles,
scratches, puncture wounds, muscle sprains, ligament tears, or
transmission of common environmental illnesses (e.g., Kennel Cough,
Canine Papilloma Virus) despite full vaccination protocols.

Limitation of Liability:
Bedlay Gardens accepts no liability for injuries, illness, or vet bills
resulting from normal play, social interaction, or environmental
hazards encountered during typical care, except where such injury, loss, or damage directly arises from proven negligence or default by Bedlay Gardens Ltd or its staff.

Nothing
in these Terms & Conditions affects your statutory consumer rights
under UK law (including the Consumer Rights Act 2015).


7. Client Acknowledgement & Agreement

By
submitting a booking, paying a deposit, or leaving my dog in the care
of Bedlay Gardens Ltd, I confirm that I have read, understood, and
unconditionally agree to all terms outlined above, specifically
including:

Section 1 & 2: Non-refundable deposit, strict payment deadlines, and check-in/out schedules.

Section 3: Medical emergency treatment authorization and full payment liability for vet fees.

Section 4: Emergency Contact pickup duties, property damage liability, and consent for restraint/crate management.
